Write to owners the day their application lands — from your own print account

Every householder extension, loft conversion and change of use in your patch, as a list of who you haven’t written to yet. Pick a standard letter, press send, and it goes out on your letterhead through your own Stannp, Docmail, Intelliprint, PostGrid or ClickSend account. The list shrinks. Nothing goes twice.

Start from your patch

Your saved searches already say which councils, postcodes and application types you care about. Open one as a worklist and you see every matching application you haven’t written to — with the owner’s name as the council published it and the address already split into lines.

Send from your own account

Connect your Stannp, Docmail, Intelliprint, PostGrid or ClickSend account once. A campaign goes out through it, at your provider’s price, on your envelopes. Test mode makes proofs (or a price check) and posts nothing, so you can check the letterhead before spending a stamp.

Keep the state a spreadsheet loses

Who you have written to, which applications are still un-actioned, addresses never to contact again, and what went out and whether the provider accepted it — kept for you, per letter. Next month’s worklist already knows.

The details that stop a mail-out embarrassing you

No “Dear -”

Councils publish placeholders in the applicant field — “-”, “Please see company name”, “C/O Agent”. Those rows are left out by default, or included addressed to the occupier if you choose.

Companies aren’t people

“Dear Playle & Partners LLP” reads as a merge that went wrong. Organisations get the neutral form; named individuals get their name.

Never twice

An application you have written to drops out of every future worklist. Two applications at one address in one campaign get one envelope.

“Please stop” is honoured

One click on the letter that prompted it puts the address on your do-not-write list, matched on the property — so a new application there next year is caught too.

Why your own print account?

The leads portals bundle the data inside their letter service and charge £0.80–£2 per letter on top of a monthly fee, on a contract that usually runs twelve months. Print and postage is a commodity you can buy for pence on your own letterhead. So we sell the data and the workflow, you keep the account — and your list, your history and your stationery walk with you if you ever leave.

The same rows are available as a merge-ready CSV on any paid plan — recipient, salutation, the address split into lines, and the planning facts — for Docmail, Royal Mail, a Word merge or your own print house. Metered as export rows, never per letter.
